Job Summary:

We have an exciting opportunity for a highly organised and proactive Personal Assistant to provide comprehensive support to a number of directors, ensuring their personal and household tasks are efficiently managed. The position is for a minimum of 25 hours per week, but can go up to 37.5 hours. This role requires someone adaptable, detail-oriented, and capable of handling a wide range of responsibilities, from diary management and administrative support to childcare assistance and pet care. The ideal candidate will be a self-starter with strong problem-solving skills, able to anticipate needs and ensure the smooth day-to-day running of multiple households.

Key Responsibilities:

  • Providing personal assistance to multiple directors, managing their schedules, appointments, and travel arrangements.
  • Organising and maintaining personal and household diaries, ensuring no scheduling conflicts.
  • Booking appointments, including medical, personal, and social engagements.
  • Managing personal correspondence, emails, and general administrative tasks.
  • Handling expense tracking, bill payments, and liaising with finance department.
  • Running personal errands, such as banking, shopping, and document handling.
  • Assisting with childcare duties, including supervising activities, and occasional babysitting.
  • Walking and caring for pets, including feeding, and arranging/attending vets and grooming appointments.
  • Managing calendars, booking appointments, and handling scheduling conflicts.
  • Coordinating personal and family events, including invitations, RSVPs, and logistics.
  • Organising digital and physical documents, including filing and record-keeping.
  • Assisting with personal event planning, including social gatherings, celebrations, and business-related hospitality.
  • Researching and booking travel, including flights, accommodations, car rentals, and itinerary planning.
  • Assisting with holiday planning, including organising travel essentials.
  • Running personal errands such as coffee and lunch runs, post-office trips, bank visits, and gift shopping.
  • Overseeing household maintenance, coordinating repairs, and liaising with contractors and service providers.
  • Researching and purchasing personal and household items, including gifts and home essentials.
  • Handling laundry services and dry cleaning.
  • Managing deliveries, coordinating returns, and handling online orders.
  • Researching and booking service providers such as personal trainers, cleaners, and maintenance professionals.
  • Sourcing and purchasing personal and household items, including gifts and home essentials.
  • Any other personal assistance tasks required.

Skills & Requirements:

  • Significant and proven experience as a personal assistant, family assistant, or in a similar role.
  • Comfortable working with children and pets, with significant experience of childcare (no formal qualification essential).
  • Highly organised with strong time management and multitasking abilities.
  • An outstanding level of interpersonal skills, including relationship management skills.
  • Able to learn about an individual’s preferences and styles, and ensure these are met.
  • Professional, discreet, and able to handle confidential information.
  • Clear and fluent writing skills and accurate proofing and editing
  • Excellent standards of accuracy, consistency, and attention to detail
  • Exceptional communication skills, both written and verbal.
  • Tech-savvy, with proficiency in managing digital calendars, spreadsheets, and online shopping.
  • Always portrays a professional image and appearance, and demonstrates professional behaviours.
  • Able to work under pressure to strict deadlines.
  • Honest, trustworthy, and reliable.
  • A valid driver’s license and access to a vehicle is preferred.
  • Flexibility with occasional evening or weekend availability.
